1. Information We Collect

We collect information to provide and improve our hockey program directory for the Manitoba community. PuckReady is intended for use by adults (parents, guardians, coaches, and program organizers). We do not knowingly collect personal information directly from children.

Information You Provide

• Program Submissions: Organization name, program details, contact name, email address, phone number, website URL, and social media links.
• Tournament Submissions: Tournament name, organizer details, dates, location, contact information, and event images.
• Reviews: Reviewer name (or anonymous), rating, and review text.
• Optional AI-assisted extraction: If you use the flyer or URL analyzer on a submission form, PuckReady sends the uploaded file or webpage text to OpenAI to suggest listing fields for your review. Do not submit children's full names, private player details, medical information, or contact lists through the analyzer.

Information Collected Automatically

• Operational data: Hosting, security and essential service logs may include IP addresses, request information and errors needed to operate the site and prevent abuse. These are separate from visitor analytics.
• Visitor analytics: PuckReady does not create visitor IDs or collect page views, search events, listing clicks, or sponsor interactions in its own analytics. On App Router pages, gated Vercel Web Analytics and Speed Insights may load when the hosting environment enables them (VERCEL=1 or NEXT_PUBLIC_ENABLE_VERCEL_ANALYTICS). Vercel processes those measurements as our host. They cover aggregate traffic and page performance. They do not load on every page. Pages Router routes such as the homepage may not include them.
• Map Data: When you view program locations, Google Maps may collect usage data subject to Google's Privacy Policy.

Browser-local planning data

Planning tools may store browser-local data such as favorites, comparison lists, Find Your Fit answers, and optional player profile fields including birth year, skill level, position, and budget. This browser-local planning data stays on your device unless you choose to submit it through a form. You can remove it by clearing site data for puckready.ca in your browser.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To display program and tournament listings on the website
• To send email notifications about your submissions (approval, updates)
• To moderate content and maintain directory quality
• To respond to feedback and improve the website
• To detect and prevent abuse, fraud, or technical issues
• To understand aggregate traffic and page performance when Vercel Web Analytics and Speed Insights load

3. Public Display of Submissions

Information you provide through submission forms (program names, contact details, organization websites, and tournament details) is intended for public display on the website. By submitting information, you consent to its public display for the purpose of facilitating hockey development connections in Manitoba.

4. Cookies and Analytics

PuckReady does not create visitor IDs. Essential admin authentication cookies and browser-local planning preferences remain. The site removes its previous visitor-ID keys without clearing your saved programs or other planning data.

You can clear browser-local planning data in your browser settings. Contact us to request access to or deletion of information reasonably connected to your email address or submission history.

Google Maps, used for displaying program locations, may set its own cookies. You can manage cookie and site data preferences in your browser settings.

5. Disclosure of Information

We do not sell, rent, or trade your personal information to third parties. We may disclose your information only in the following circumstances:

• To comply with a legal obligation or court order
• To protect the rights, property, or safety of PuckReady or its users
• With service providers who assist in operating the website (Vercel for hosting and analytics, Supabase for data storage, Resend for email delivery, and OpenAI for optional AI-assisted extraction) - these providers only process data on our behalf

6. Data Retention

We retain your personal information only as long as necessary to fulfill the purposes described in this policy:

• Active listings: Retained while the listing is published on the website
• Deleted listings: Soft-deleted listings are retained for 90 days, then permanently removed
• Historical analytics records: Disabling collection does not itself delete previously stored analytics records. Historical records and aggregate reports may remain pending a separate retention and deletion review.
• AI extraction cache: Parsed flyer results may be cached for up to 7 days to prevent repeated processing of the same file. URL analyzer results are not stored as public listings unless you review and submit them.
• Browser-local planning data: Favorites, comparison lists, Find Your Fit answers, and optional player profile fields remain in your browser until you clear site data or the browser removes them.

7. Your Rights Under PIPEDA

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

• Access the personal information we hold about you
• Correct any inaccurate or incomplete information
• Request deletion of your personal information
• Withdraw consent for the collection, use, or disclosure of your information
• File a complaint with the Office of the Privacy Commissioner of Canada if you believe your privacy rights have been violated

8. Email Communications (CASL)

We comply with Canada's Anti-Spam Legislation (CASL). We send operational emails related to your submissions, such as approval notifications and listing updates. If you explicitly sign up for hockey updates, we may also send practical updates about new programs, tournaments, and registration deadlines. Every email includes a one-click unsubscribe link. You can unsubscribe at any time, and we will stop sending you messages within 10 business days.

9. Data Security

We use commercially reasonable measures to protect your personal information, including encrypted connections (HTTPS/TLS), secure authentication, and access controls. However, no method of transmission over the Internet or electronic storage is 100% secure.

10. Links to Other Sites

Our website contains links to external sites (Hockey Manitoba, local associations, camp websites). We are not responsible for the privacy practices of these sites. We encourage you to review the privacy policy of every site you visit.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last Updated” date. Continued use of the website after changes constitutes acceptance of the updated policy.
